Cox Automotive is one of the largest providers of services and solutions for the automotive industry. Each year, they host a live summit of key executives from the OEM, dealer & lender community, to drive thought leadership and connect with VIP clients. This year, as meeting in person was not feasible, we needed to produce a virtual event worthy of the summit’s forward-thinking content.
Utilize our Virtual Content Studio to design and create a virtual environment and event that would keep busy, high-level executives engaged and evoke the summit’s tagline: “The Way Forward”.
We worked with the client team to finalize the summit’s agenda, and then structured the event to include a mix of pre-recorded content, live sessions and interactive Q&A. Leveraging with the client’s in-house studio at their Atlanta headquarters, we set up a green screen onsite and established processes to run the live broadcast feed from their facility, making it easy for Cox execs to participate. For presenters who could not go to the studio and record against the green screen, we leveraged their own computer webcams for their sessions; we coordinated tech checks over 5 days to accommodate busy executives’ schedules, ensuring all connections, environments and lighting would work well for the live broadcast. We also pre-recorded 5 sessions for presenters who were unable (or uncomfortable) presenting in the live environment, making them appear “as live” in the broadcast. We also established a Q&A protocol with the event emcee so we could facilitate questions from the audience in real-time.
Creatively, we designed four different environments (or “stages”) for presenters, that we integrated into the green screen presentations to create a clean and sophisticated virtual world. We also built a custom microsite for the program, incorporating a registration component, the event agenda, a video player that would house the event broadcast, and a submission box for attendees to ask questions of presenters.
Over 500 people registered for the event, with 345 viewers on day 1 and 289 on day two. The feedback from Cox executive leadership, clients and partners was overwhelmingly positive, and we are now in the process of planning two additional virtual events for 2021.
